The client, an experienced technology entrepreneur working across education and training sectors, recognized that parents struggled with scattered systems that had limited visibility into children’s activities. He envisioned a unified ecosystem that merged academic learning, physical development, and recreational experiences. Partnering with our team, he aimed to build a platform empowering parents, children, and providers to interact transparently while maintaining high-quality standards across all offerings.

Requirement

The client needed a cross-platform solution that supported various players through specialized modules. Key requirements included secure onboarding, radius-based validations, structured camp batch management child profiles, scheduling calendars, Google Meet integration, and real-time chat. Additionally the system needed advanced oversight with session approvals, provider verification, payment compliance, commission automation, and full operational visibility to ensure safety, and seamless user experience across all service categories.

Simplifying Booking Across Multiple Service Providers

Creating a seamless experience for parents, relied on bringing together a diverse category of service providers under one roof. With more than four major categories, each featuring a long list of service providers, it was easy for the users to feel overwhelmed. The core challenge was crafting a user journey that allowed parents to explore services comfortably, compare offerings without confusion, and book sessions effortlessly.

Ensuring Reliable School and University Data

Information about the service providers in UAE was scattered across multiple sources, making reliable data hard to find. Seeing both a challenge and an opportunity, we built a dedicated team to collect, validate, and standardize this information into a unified database.This structured foundation gave the platform a strong advantage, allowing parents to explore options easily and make informed decisions.

Designing a Booking Mechanism and Centralized Integrations

With multiple categories and a large pool of service providers, enabling parents to book, reschedule, cancel, or transfer sessions introduced significant complexity despite being one of the clients core USPs. Our UX and backend teams collaborated to create an intuitive booking flow, supported by a shared centralized calendar that is integrated with Google, Apple, and Microsoft.

Enabling Real-Time Communication Across Users

Creating smooth communication between parents, children, and service providers was essential to the platform’s effectiveness. We designed a messaging experience that felt as natural as everyday chat apps while staying secure and private, built clear distinctions between system and user messages, and created a non-intrusive notification center. Ultimately improving retention and everyday platform engagement.

With multiple roles from parents to service providers and other administrators, access had to be carefully managed. The system enforced precise permissions, smooth verification, and a frictionless onboarding process. This minimized the risk of misuse or unauthorized actions, ensuring users could navigate confidently without compromising platform reliability or trust.

Making the Onboarding and Verification Seamless and Secure

The onboarding process was designed to be simple and pressure-free, allowing applicants to submit information easily. Onboarding diverse service providers required a structured approach to ensure credibility. There is a window period where systems and internal teams can verify applicants through background checks, collect essential documents, and implement clear verification steps, protecting platform integrity. By confirming each applicant met required standards, the system delivered a secure, consistent, and hassle-free experience.

Managing Complex Financial Workflows Transparently

Since the platform collaborated with a diverse user base, we recommended a client controlled payment system to ensure security. With nearly 85% of the target population being expats, the solution needed to be flexible, simple, and fast. We also implemented robust fee, commission, and payout structures to maximize control and minimize financial risks for service providers.

With a diverse multilingual user base, creating an interface and support system that accommodates multiple languages was essential. We designed intuitive language options, localized content, and responsive multilingual assistance, ensuring users felt understood and supported. The parents felt overwhelmed searching through a large space to find the right services, so advanced search and filtering options were introduced to make it easier.
